Certificate of Insurance (COI) — Get One Same Day for Your Job
A general contractor calls you Friday afternoon with a job that starts Monday. You need a Certificate of Insurance with their company named as additional insured — and you need it by end of day. If your agent cannot deliver, you lose the job. Here is how COIs work and why speed matters.
If you are a contractor, subcontractor, vendor, or service provider in California, you have dealt with COI requests. Every general contractor, property manager, government agency, and commercial client requires one before you start work. It is the price of admission to every job site in the state.
The problem is not getting insurance. The problem is getting the paperwork fast enough to keep up with your business. A slow agent who takes 3-5 business days to issue a COI costs you jobs. A fast agent who issues same-day COIs helps you win them.
What Is a Certificate of Insurance?
A Certificate of Insurance (COI) is a standardized one-page document (ACORD form 25) that proves you have active insurance coverage. It includes:
- Your business name and address
- Policy types: GL, commercial auto, workers comp, umbrella
- Policy numbers and effective dates
- Coverage limits for each policy
- Insurance carrier name and AM Best rating
- Certificate holder — the party requesting the COI
- Additional insured status — whether the certificate holder is added to your policy
The COI itself does not change your coverage. It is proof that coverage exists. But the additional insured endorsement that often accompanies it does change your coverage — it extends your liability protection to the party named.
Who Needs COIs?
Every business that works on someone else's property or performs services for other businesses needs COIs. Common situations:
- Contractors and subcontractors: GCs require COIs from every sub before they can enter the job site
- Landscapers: Property management companies and HOAs require COIs from their landscaping contractors
- Food trucks: Health departments and event organizers require COIs for every food truck
- Trucking companies: Shippers and brokers require COIs from commercial trucking operators
- Vendors at events: Event organizers require COIs from every vendor
- Tenants: Landlords require COIs from commercial tenants
The Additional Insured Requirement
Most GCs do not just want to see that you have insurance. They want to be named as an additional insured on your policy. This means if a claim arises from your work and the GC gets sued, your insurance policy defends them too.
There are two types of additional insured endorsements:
- Blanket additional insured: Automatically adds any party you are contractually required to add. This is the most convenient option — no need to call your agent for every new job.
- Scheduled additional insured: Specifically names each additional insured party. Requires a new endorsement for each job.
Hartford policies frequently include blanket additional insured endorsements, which means you can provide COIs to any GC or client without waiting for a new endorsement to be processed.
Why Speed Matters
Here is a scenario that plays out every week in the trades:
- A GC calls you Thursday with a job that starts Monday
- The GC needs your COI by Friday at 5pm or they call the next contractor on their list
- You call your agent. They say they will "get to it" by next Tuesday.
- You lose the job.
This happens constantly. Contractors lose work not because they are uninsured, but because their agent is slow.
At Via Rapida, we issue COIs the same day. If you call us in the morning, you have your COI by afternoon. If the GC needs a specific additional insured endorsement, we process it the same day for Hartford policies.

What a GC Looks for on Your COI
When a GC reviews your COI, they check these things:
- GL limits meet their contract requirements. Most GCs require $1M/$2M minimum. Some require $2M/$4M.
- Workers comp is active. If you have any employees, workers comp must show active status.
- Additional insured endorsement. Their company name appears in the certificate holder box AND the additional insured box is checked.
- Policy dates are current. Expired policies mean you are uninsured right now.
- Carrier AM Best rating. Hartford's A+ (Superior) rating is among the highest in the industry — GCs recognize and trust it.
Common COI Problems and How to Avoid Them
- Expired policy dates. Keep your policies current. A lapsed policy means no COI, which means no work.
- Wrong additional insured name. The GC's legal entity name must match exactly. "ABC Construction" is not the same as "ABC Construction Inc." Confirm the exact legal name before requesting the COI.
- Insufficient limits. If the GC requires $2M per occurrence and your policy only has $1M, you either need to increase your limits or add an umbrella. We can adjust this quickly.
- Missing workers comp. Even if you have a sole proprietor exemption (for now — SB 216 eliminates it by 2028), your COI should note "exempt" in the workers comp section, not leave it blank.
